Structuring Workspaces

A workspace is hard to re-cut once it holds documents, findings and hypotheses, so it pays to decide how to split work before creating the next one. Three rules of thumb help:

  • One workspace per focus topic or per group of people who work together. A workspace's business context (area and focus) steers what the AI looks for, so a workspace that mixes unrelated topics produces less relevant discoveries.
  • Keep workshops separate from day-to-day work. A workshop workspace can be broad, collecting everything that might matter; the workspaces for day-to-day work afterwards are smaller and focused on what the team actually pursues.
  • Share files instead of uploading them twice. A document that matters to several workspaces is shared from one workspace to the others (see Document Intelligence), so it is prepared only once and every workspace works from the same file.

The same rules appear in the app when a workspace is created, during onboarding and on the Workspaces page. Each sample workspace is an example of such a cut and says in its description which one it shows and why.
